Used to create, store, and manage planned route activities for field sales employees within a defined time period.

Steps to Create a Route Plan

Step 1. Create Route Types

Go to Settings → Route Types → New → fill in the form "Add Route Type".

Name: the name of the route type (required). Example: “North Region Sales Route”, “City Delivery Route”.

Description: detailed notes about the route type, e.g. purpose, target region, assigned team, customer category, etc.

Step 2. Configure Prefix for Route Plan

Go to Settings → Prefixes

Step 3. Create a Route Plan

Go to Route Plans → New

Step 4. Complete the left-side form in “Add Route Plan”

Route Plan Number: auto-generated based on prefix settings

Name: enter the name of the route plan (e.g. “Route Q1 - HCM District 1”)

Route Type: select a route type created in Settings → Route Types

Sales Responsible: select the driver/sales employee for this route plan. Dropdown only shows drivers who already have an assigned vehicle.

Vehicle Name: auto-filled from the selected driver

Start Time: The start time for executing the Route Plan. The corresponding Route Schedule will also begin at this exact time (hh:mm:ss).

End Time: the ending time of the route plan.

Recurring Rule: choose one of: Daily / Weekly / Monthly. The system will use this configuration to auto-generate Route Schedules.

  • Daily: Used for routes that must be executed every day or in a fixed day-based cycle, regardless of day of week or day of month. Examples: Customer care visits scheduled daily, or once every 3 days.
Interval Between Days: The number of days between each generated Route Schedule.
Example: Interval Between Days = 1 → generate a Route Schedule every day.
Example: Interval Between Days = 2 → generate a Route Schedule every other day (1-day gap between each schedule generated from the same plan)
  • Weekly: Used when the route occurs only on specific days of the week — for example, only on Mon-Wed-Fri, or once a week on the same weekday. Examples:
Sales staff visit markets every Monday and Thursday
Periodic delivery to distributors every Wednesday
Showroom maintenance every Tuesday & Saturday
    • Days of The Week: Select one or multiple weekdays (Mon…Sun) on which the system will generate Route Schedules from this Plan.
    • Interval Between Weeks: The number of weeks between each recurrence.
      • 1 = every week
      • 2 = every other week (one-week gap between runs)

  • Monthly: Used when the plan needs to recur based on a monthly schedule — there are two modes: Specific Date and Day of Week
    • Specific Date - Fixed calendar dates: Route Schedules will be generated on specific calendar days of the month. Examples: Collect outstanding payments on the 5th and 20th of every month; Sales + delivery run on the 1st of every month.

    • Day of Week: Based on weekday order within the month. The Route Schedule recurs on a specific weekday of a specific week of the month — suitable for commercial cycles. Example: “Second Monday” = Every 2nd Monday of each month.
      • Days of The Week: Select one or multiple weekdays from Mon…Sun.
      • Week of The Month: Select one or more from: First, Second, Third, Fourth, Last

    • Interval Between Months: The number of months between each recurrence (1 = every month, 2 = every other month (one month gap))

Skip Saturdays: Ignore Saturdays even if they match the recurrence rules — the system will not generate Route Schedules on Saturdays.

Skip Sundays: Ignore Sundays even if they match the recurrence rules — the system will not generate Route Schedules on Sundays.

Blacklists: Define a list of excluded dates that must be ignored from route generation.Even if a date meets the Recurring Rule, the system will not generate a Route Schedule for any date in this blacklist. Examples:

  • National/public holidays
  • Company event days
  • Planned vehicle maintenance days
  • System downtime or blackout days

Description: A free-text field to record notes or contextual information about the route plan (e.g. “Eastern region dealer debt collection route”, “January test run”, “Activate only during peak season”).

Color: The color used to visually represent this route on the map in Route Schedules during actual movements, helping distinguish it from other routes.

Step 5. Add Route Points to the Plan

Click “Add Route Points” to add the list of stops into the Route Plan.

A Select Route Point popup will appear → choose the route points to include in the plan and click  to confirm

Then, drag and drop the selected route points by hovering the mouse in front of the Image column to arrange the first and last points of the Route Plan.

All remaining route points will be automatically ordered by the system to optimize the travel path.

Image: Route point thumbnail if available

Route Point Name: Name of the stop, e.g. “Store A - Q1”

Address: Stop/customer address

Service Time (minutes): Expected service time at the point (used for planning total duration)

Step 6. Click Save

After saving, the system will automatically determine the visit order and display it in Route Details and Route Plan with Maps as shown.

Column explanation in Route Details

  • Stage: shows each travel leg in sequence: starting point → next stop.
  • Distance: Distance of each leg, measured from point A to point B.
  • Time:  Estimated travel time for that leg (based on Google Maps), e.g. “5 mins” means travel time from A to B.

In Route Plan with Maps, the planned travel path will be displayed in blue color:

Step 7. Update Route Plan Status

Set the Route Plan status to In Progress to allow the system to generate Route Schedules from this plan.

Step 8. Generate Route Schedule (Automatic or Manual)

There are two ways to generate a Route Schedule:

  • Automatic (Recommended): Enable the cron job. Each day, the system will evaluate the Route Plan; if the current date matches the recurrence rule, a Route Schedule will be generated automatically.
  • Manual (On demand): Navigate to the Route Schedule menu → click RUN MANUAL.

The system will generate a Route Schedule for the current date if it matches the Route Plan conditions.
